Terms and conditions for using Molario

These terms govern your use of Molario. By creating an account, you agree to them. If you are accepting on behalf of a practice or organization, you confirm you have authority to bind that entity.

Molario is operated by Bitcodia s.r.o., a company registered in the Czech Republic. When we say "Molario," "we," or "us," we mean Bitcodia s.r.o.

1. What Molario provides

Molario is a practice management platform for dental professionals. It helps you manage appointments, patient records, billing, team collaboration, and day-to-day operations — all in one place.

We provide the software as a service. You access it through your browser. We handle hosting, security, updates, and backups so you can focus on your practice.

2. Your account

Creating an account

You need an account to use Molario. Provide accurate information when signing up and keep it current. One person, one account — do not share login credentials.

Team accounts

You can create a team account for your practice and invite team members. As the account owner, you control access, roles, and permissions. You are responsible for your team members' activity within your account.

Keeping your account secure

Choose a strong password and keep it private. Enable multi-factor authentication when available. If you suspect unauthorized access, let us know immediately at support@molario.com. We are not liable for losses caused by unauthorized use of your credentials.

3. Your data

You own your data

Your practice data — patient records, appointment history, billing information, documents, and anything else you enter — belongs to you. We do not claim ownership of your content.

Patient data responsibilities

You are the data controller for your patients' personal data. This means:

  • You are responsible for having a lawful basis to collect and process patient data (such as providing healthcare services or patient consent).
  • You must comply with applicable data protection laws, including GDPR, when using Molario to store and manage patient information.
  • You are responsible for responding to your patients' data access, correction, and deletion requests. Molario provides tools to help you fulfill these obligations.

We act as a data processor on your behalf. We process patient data only as needed to provide the service and in accordance with our Privacy Policy.

Data export

You can export your data at any time. We will not hold your data hostage. If you need help exporting, contact us and we will assist.

Data deletion

When you delete data within Molario, it is removed from active systems. Backups may retain deleted data for up to 30 days before it is permanently purged. When you close your account, we delete all your data within 30 days, unless legal obligations require us to retain it.

4. Acceptable use

Use Molario for its intended purpose — managing your dental practice. Do not:

  • Use Molario for anything illegal or to process data you have no right to handle.
  • Attempt to access other users' accounts or data.
  • Reverse-engineer, decompile, or tamper with the software.
  • Use automated scripts, bots, or scrapers to access the service (unless through our official API).
  • Upload malicious files or code.
  • Resell or redistribute access to Molario without our written consent.
  • Overload or disrupt the service in a way that affects other users.

We may suspend or terminate accounts that violate these rules.

5. Plans and billing

Free and paid plans

Molario offers a free plan with limited features and paid plans with expanded capabilities. Plan details and pricing are listed on our Pricing page.

Subscriptions

Paid plans are billed monthly or annually, depending on your choice. Subscriptions renew automatically at the end of each billing period unless you cancel beforehand.

Payment

Payments are processed by Stripe. By subscribing to a paid plan, you authorize us to charge your payment method at the start of each billing period. All amounts are in the currency displayed at checkout.

Price changes

We may adjust pricing for paid plans. We will notify you at least 30 days before any price change takes effect. If you do not agree with the new price, you can cancel before the next billing period.

Cancellation

You can cancel your subscription at any time from your account settings. Cancellation takes effect at the end of the current billing period. You will retain access to paid features until then. After that, your account reverts to the free plan.

Refunds

We do not offer refunds for partial billing periods. If you cancel mid-month or mid-year, you keep access through the remainder of your paid period. For exceptional circumstances, reach out to support@molario.com and we will do our best to help.

6. Service availability

We work hard to keep Molario running smoothly, but we cannot guarantee 100% uptime. From time to time, the service may be temporarily unavailable for maintenance, updates, or reasons beyond our control.

We will make reasonable efforts to notify you in advance of planned maintenance. In the event of unplanned outages, we will work to restore service as quickly as possible.

7. Intellectual property

Our software

Molario, including its design, code, features, and documentation, is the intellectual property of Bitcodia s.r.o. These terms grant you a limited, non-exclusive, non-transferable right to use the service for its intended purpose. They do not transfer any ownership of the software to you.

Your content

You retain full ownership of the content you create and upload. By using Molario, you grant us a limited license to store, process, and display your content solely to provide the service to you. This license ends when you delete your content or close your account.

Feedback

If you share suggestions, ideas, or feedback with us, we may use them to improve Molario without obligation to you. You are never required to provide feedback.

8. Third-party services

Molario integrates with third-party services to provide certain features:

  • Stripe for payment processing
  • Resend for transactional emails
  • Convex for database infrastructure
  • Vercel for hosting

This is not the complete list. Section 4 of our Privacy Policy names every provider that receives personal data, and what each one receives — that document is authoritative and is the one we keep current.

Your use of these services through Molario is subject to their respective terms. We choose our providers carefully but are not responsible for their actions beyond our control.

9. Limitation of liability

To the maximum extent permitted by applicable law:

  • Molario is provided "as is" and "as available." We do not warrant that the service will be uninterrupted, error-free, or free of harmful components.
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the service.
  • Our total liability for any claim related to the service is limited to the amount you paid us in the 12 months preceding the claim.
  • We are not liable for data loss caused by your actions, third-party services, or events beyond our reasonable control.

These limitations do not exclude or limit liability where it cannot be excluded or limited under applicable law, including Czech consumer protection law.

10. Indemnification

You agree to hold Bitcodia s.r.o. harmless from claims, damages, or expenses arising from:

  • Your use of Molario in violation of these terms.
  • Your handling of patient data in breach of applicable data protection laws.
  • Content you upload or actions you take through the service.

11. Changes to these terms

We may update these terms from time to time. When we make significant changes, we will notify you by email at least 30 days before they take effect and post the updated terms on this page.

If you continue to use Molario after the changes take effect, you accept the updated terms. If you disagree, you may close your account before the changes apply.

12. Termination

By you

You can close your account at any time from your account settings. Closing your account ends your subscription and access to the service.

By us

We may suspend or terminate your account if:

  • You breach these terms.
  • You use the service in a way that could harm other users or the service itself.
  • We are required to do so by law.
  • Your account has been inactive for an extended period (we will notify you before taking action).

Where possible, we will provide notice and an opportunity to resolve the issue before terminating your account.

After termination

Upon termination, your right to use the service ends. We will retain your data for 30 days to allow you to export it, after which it will be permanently deleted (unless legal obligations require otherwise).

13. Governing law and disputes

These terms are governed by the laws of the Czech Republic. Any disputes will be resolved by the competent courts of the Czech Republic.

If you are a consumer within the European Union, you also retain the protections provided by the mandatory consumer protection laws of your country of residence. You may also use the European Online Dispute Resolution platform at https://ec.europa.eu/consumers/odr.

14. General

  • Entire agreement: These terms, together with our Privacy Policy and Cookie Policy, form the complete agreement between you and Bitcodia s.r.o. regarding Molario.
  • Severability: If any part of these terms is found unenforceable, the remaining parts remain in effect.
  • No waiver: Our failure to enforce a right does not waive that right.
  • Assignment: You may not transfer your rights under these terms. We may assign ours in connection with a merger, acquisition, or sale of assets, with notice to you.
